Creating Proposals

Proposals in The Paint Estimator are description-based. This means you clearly describe the work being performed in plain language, making it easy for customers to understand exactly what is included.

Best practice:
Clear, well-written descriptions reduce customer confusion and help prevent scope disputes later. Avoid vague language whenever possible.

1. Description area

This is where you type out the full scope of work. Many contractors begin with a short overview describing:

  • What the proposal covers
  • How long the job is expected to take
  • The types of materials being used
  • Any exclusions or limitations

After the introduction, list each task and describe how it will be completed.

2. Proposal tools

These tools allow you to manage proposal settings, invoices, details, and previews.

  • Settings — Add your logo, change proposal templates, adjust editor options, and configure taxes.
  • Invoice page — Jump directly to the invoice page for this job.
  • Proposal Details — Edit customer information, address, job cost, and related details.
  • Preview Proposal — Preview the proposal and export it to PDF, Word, or OpenOffice, or print it directly.

3. Formatting toolbar

The main toolbar provides text formatting tools and quick access to Description Templates and Terms & Conditions.


Previewing and exporting proposals

Once you finish writing your proposal, click the Preview Proposal button.

From the preview screen, you can export the proposal to Word, PDF, or OpenOffice, or print it directly.

Many users export to Word first to review spelling and grammar, then export the final version to PDF before sending it to the customer. If you use OpenOffice, see this page for additional information.
